Use Notion AI to Build and Improve Success Plan Templates
What This Does
Notion AI can generate first drafts of success plans, improve weak sections of your existing templates, and summarize long account notes into structured documents — all inside the workspace most CSMs already use for documentation. No new tool to learn.
Before You Start
- You use Notion for documentation (personal or company workspace)
- Notion AI is enabled on your workspace (included in most paid plans, $8+/mo)
- Time needed: 10–15 minutes for your first AI-assisted success plan
- Cost: Included in Notion Personal Pro ($10/mo) and higher / may be included in company Notion plan
Steps
1. Find the Notion AI feature
Open any Notion page. To access Notion AI, press the spacebar in an empty line — a prompt box appears with "Ask AI..." placeholder text. Or right-click any selected text → Ask AI.
What you should see: A dropdown menu with options: Generate, Summarize, Improve writing, Change tone, Fix spelling & grammar, Make shorter, Make longer. Troubleshooting: If you don't see AI options, check Settings & Members → Plan to confirm your workspace has AI features enabled.
2. Generate a new success plan structure
Click in an empty Notion page. Press Spacebar to open Notion AI. Type:
"Generate a 6-month customer success plan structure for a B2B SaaS customer. Include: executive summary, customer goals, 30/60/90 day milestones, adoption metrics to track, QBR cadence, and success criteria."
What you should see: Notion AI writes a full success plan template structure with headers, sections, and example content inline.
Press Accept to keep it. Edit the placeholders with your customer's specific details.
3. Improve a weak section of an existing template
If you already have a success plan template but one section always feels generic, select that section text. Right-click → Ask AI → Improve writing. Or press Spacebar in the section and type "Improve this section to be more specific and actionable."
Example: Your "Success Metrics" section currently says "Monitor usage and adoption." Select it → Ask AI → "Make this more specific: add 3 concrete metrics a CSM would actually track in Gainsight, including what good looks like."
What you get: "Success Metrics: (1) Monthly Active Users — target 70%+ of licensed seats active weekly by Day 60; (2) Feature adoption depth — target 3+ core features used weekly by 80% of power users by Day 90; (3) Support ticket volume — target <2 critical tickets per month after onboarding."
4. Summarize long account notes into a success plan input
If you have pages of account notes from the sales process or early customer calls, use Notion AI to summarize them into a structured input for success planning:
Select all your raw notes → Ask AI → "Summarize into: (1) customer primary goals, (2) key stakeholders and their priorities, (3) main risks or concerns, (4) product areas they care most about."
What you get: A structured 1-page summary you can paste directly into the "Customer Context" section of a success plan.
5. Create a reusable template page
Once you've built a success plan structure you like, convert it to a Notion Template:
- Click the "..." menu on the page → Turn into template
- Name it: "CSM Success Plan — [Account Tier] Template"
- Now when you create a new customer page, click "New from template" and select your template
Every new account starts from a polished, consistent structure instead of a blank page.
Real Example
Scenario: You just closed an enterprise account handoff and need to build a success plan for a 200-seat BI platform customer. Their goal: reduce reporting cycle from 2 weeks to 2 days.
What you do in Notion:
- Press Spacebar → Ask AI: "Draft a 6-month success plan for an enterprise customer using a BI platform who wants to reduce reporting cycle from 2 weeks to 2 days. Team: 5 analysts, 1 data engineering lead."
- Notion AI produces a draft plan with phases: Data Integration (Month 1), Dashboard Buildout (Month 2–3), Team Adoption (Month 4), Process Optimization (Month 5–6)
- You review, add the customer's specific stakeholder names, and adjust the timeline based on their implementation complexity
- Total time: 25 minutes vs. 2+ hours from scratch
Tips
- Use "Make shorter" on the plan overview section before sharing with the customer — AI drafts tend to be long; customers prefer concise
- Keep a "Success Plan Archive" folder in Notion with your best completed success plans — these become your real training data for future AI prompts ("here's an example from a similar customer")
- When you're updating a quarterly success plan, select the outdated section → Ask AI → "Update this section to reflect: [describe what actually happened]"
Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
